HTS has an exciting opportunity for a highly organized, detail-oriented individual with a passion for keeping an office running efficiently. We are currently seeking an Office/IT Coordinator to join our team based out of the HTS Corporate Office. As the Office/IT Coordinator, you will play a crucial role in maintaining an efficient and productive work environment while providing exceptional administrative support. Responsibilities
- Order and maintain office supplies and equipment for the corporate office and our therapy departments.
- Reconcile purchase orders with invoices for payment. (Assign purchase orders for every order placed.)
- Keep track of costs of all supplies shipped to facilities from corporate office.
- Ship out all packages via either UPS or USPS (through UPS Worldship or NeoShip computer programs) when appropriate.
- Support the corporate Director of IT by monitoring the IT Help Desk email, creating support tickets, maintaining IT inventory master lists, and performing basic administrative functions.
- Monitor and maintain toner and paper supplies for office copy machines, arrange maintenance if needed.
- Inventory and organize therapy equipment and supplies at our storage facility and corporate office bi-annually.
- Order office supplies and ergonomic items needed for individual corporate employees.
- Unpack and stock supplies in proper location.
- Answer incoming telephone calls, determine purpose of callers and forward calls to appropriate personnel or department. Take and deliver messages or transfers calls to voice mail when appropriate personnel are unavailable.
- Process incoming mail and distribute or scan to staff.
- Provide direct and confidential administrative support as requested by the executive team.
- Welcome on-site visitors, determine nature of business and announce visitors to appropriate personnel.
- Perform secretarial and other clerical duties as needed such as typing, collating, stuffing envelopes, processing outgoing mail and organizing mailings.
- May be assigned special projects and administrative tasks upon request.

Requirements:
Education & Experience
- High school diploma; additional relevant certifications or education is a plus.
- One to three years of experience as an office coordinator, administrative assistant, or in a similar role.
Skills & Abilities
- Excellent communication and customer service skills.
- Proficient in Microsoft Office Suite or related software.
- Strong attention to detail.
- Basic understanding of clerical procedures and systems such as recordkeeping and filing.
- Ability to work independently.
- Ability to routinely lift up to 25 lbs. as necessary.
- Ability to occasionally lift up to 50 lbs.
