Summary
The ideal candidate will provide coordination and assistance for a variety of activities and functions for the Resort within the Human Resources team.
Essential Functions
Job duties include, although are not limited to:
- Welcome individuals walking into the Human Resources office professionally, following our service standards
- Listen and respond to inquiries and provide solutions with follow through
- Handle incoming phone calls by following our telephone etiquette and using a clear and audible speaking voice with upbeat tonality
- Assist incoming employees, managers or candidates and provide accurate information.
- Answer questions, provide forms or directions.
- Refer all complex situation (complaints of harassment, etc) promptly to Director, Human Resources
- Maintain cleanliness and organization throughout the office.
- Manually open, time stamp, then visually examine mail to sort and direct mail.
- Take regular stock of forms and ensure proper level of supply are maintained in the Human Resource Office
- Order supplies for department as needed.
- Operate and maintain copy/printing machine
- Prepare and order name tags
- Make name tags for new hire orientation
- Track Shooting star nomination cards
- Track Food Handler sheets and e-mail Managers
- Process invoices
- Remove departed associates from Beekeeper and Trainual access
- Provide administrative assistance such as filing paperwork.
- Maintain department and personnel files
- Assists terminated employees in exiting process by visually examining exit check list to ensure correctness, and visually offering exit interview form.
- Call New Hires ahead of orientation and confirm necessary details (spelling, I9 documents and confirm orientation date and time)
- Print orientation name tent cards and arrival checklist
- Print Sign in sheet for payroll for orientation
- Make all New Hire Name Tags
- Prepare Beekeeper log ins for New Hires on orientation day
- Prepare Benefits packets
- Prepare parking stickers
- Print FTG reports for orientation delegates by their department
- Print and personalize Dazzle cards for orientation
- Assemble Dazzle Bags
- Access and update ADP as needed
- Any other tasks assigned by Director and other members of HR Department
Internal Relationships
Reports to Chief People and Culture Officer.
External Relationships
Has regular contact with associates of The Boca Raton.
Qualifications
- Excellent written and verbal communication skills.
- Ability to effectively deal with a variety of audiences, some of whom will require high levels of patience, tact, and diplomacy.
- Strong knowledge of Word, Excel, and PowerPoint.
- Ability to exercise independent judgement and discretion while performing various responsibilities.
- Ability to prioritize workload; managing various projects and demands on a concurrent basis.
- Ability to work independently.
- Ability to work quickly and under pressure to meet deadlines.
- Strong organizational skills.
- Knowledge of effective reporting and tracking systems for project planning and execution.
- Good problem solving and research skills.
Education/Experience Requirements
- High School graduate or equivalent
